UPS, FedEx and DHL: what should you check when tracking does not update after handover?
No tracking event does not by itself mean a shipment is lost. A label can exist before carrier acceptance; first confirm physical handover, scan timing, piece details, account status and any missing documents.
International tracking normally appears after actual acceptance, scanning or entry into an operating node. DHL states publicly that tracking events usually appear 24–48 hours after a Track and Trace ID is received and once a shipment reaches its facility; this is not a guaranteed time for every route.
Separate label creation from physical handover
A label, customer notice or warehouse receipt does not prove that the carrier has completed a first scan. Check handover time and place, receipt or signed record, piece count, carton labels and actual weight. For third-party warehouse or transfer handling, confirm when the cargo entered the carrier network.
Use an operating window, not a promised scan time
Display timing differs by service and operation. DHL notes that events usually appear within 24–48 hours after the tracking ID is received and the shipment reaches its facility; it is not a route-wide guarantee. Weekends, peak periods, security checks, export work and document review can affect updates.
Prepare evidence before asking for a trace
Provide the waybill number, handover date and city, carrier/account, piece count, finished dimensions and actual weight, exact goods description, destination postcode, handover proof and screenshots. For reviewed powders, cosmetics, pastes or chemical materials, include applicable SDS/MSDS, packaging photos and prior review material.
Escalate specific exception signals
A non-working number, inconsistent label data, mismatched piece count, prolonged absence of a first scan, or customs/address/duty prompts should be checked by the shipper or operating party under the carrier arrangement. Do not create duplicate labels or represent the shipment as dispatched before confirmation.
A tracking event is not a clearance or delivery guarantee
First-scan, transit or arrival events can still be followed by customs, duty, recipient-data, weather or destination-operation issues. Scope, price, transit time, duties, return/disposal and final billing remain subject to review, carrier and destination requirements and the actual quote.
Practical checklist
- Check the waybill and physical handover proof
- Confirm city, time, pieces and carton labels
- Allow for actual operations and save screenshots
- Prepare goods, dimensions, destination and review material
- Have the responsible shipper/operator request a trace
