UPS, FedEx and DHL: what should you check when the recipient address or contact details are incomplete?
An address exception is not solved by adding one street number. Confirm the genuine recipient, full street address, city/state/country, postcode, working phone and email, and alignment with the commercial invoice, importer and duty arrangement. Any correction remains subject to carrier review.
DHL’s public international-shipping guidance requires the receiver’s company or individual name, valid contact person, contact number, email and complete mailing address including postcode; shipment details must also tally with contents and invoice. Destination formats and carrier operations differ, so no change or delivery outcome can be promised.
Confirm the genuine recipient and importer
Confirm whether the recipient is an individual or company, then give the real name, contact and reachable details. If the importer differs from the recipient, identify both; do not substitute a warehouse, marketplace or forwarding point as importer. Differences between the real entity, tax ID, invoice and duty arrangement may need review.
Break the address into checkable fields
Do not supply only one unstructured address line. Confirm country/territory, state/province, city, street and number, unit/floor, postcode and residential/commercial status where applicable. DHL’s public guidance requires a complete mailing address and postcode. Provide a destination-recognisable formal version when local language or landmarks are used.
Phone and email are operational details
Give a working phone number with country code and a regularly monitored email, confirmed by the recipient for duty, document or delivery communications. Do not provide invalid, temporary or unauthorised contacts. Complete contacts support review but do not guarantee a particular contact attempt or delivery result.
Keep waybill, invoice and packing list aligned
Recipient name, address, phone, importer, applicable tax ID and goods details must align truthfully across the waybill, commercial invoice and packing list. If postcode/city, company/tax ID or contact details conflict, verify the real transaction and destination requirements before changing documents.
A post-handover address change is not automatic
Handover, first scan, customs and destination-stage operations can affect the feasibility, cost and outcome of an address correction. Provide the waybill, current status, original and corrected full details and recipient confirmation for the operating party to review. Scope, duties, return/disposal, price and timing remain subject to actual review.
