UPS, FedEx and DHL: what should be checked in one pass before peak-season handover?
During peak season, do more than ask about capacity. Confirm the real tender location, finished pieces and measurements, packing and labels, invoice data, duty responsibility and special-cargo review status together. Complete documents do not guarantee capacity, price, transit time or acceptance.
Peak-season delays often begin when cargo reaches the handover point and its dimensions, description, recipient data or packing no longer match the reviewed information. DHL’s public shipping guidance stresses accurate shipper, receiver, goods and packing information. Actual handover timing, available service and carriage scope remain subject to the shipment, carrier review and current quotation.
Confirm the real tender time and location
A quote or preliminary capacity discussion does not replace actual tender conditions. Confirm when packing will be complete, who will deliver to which location, the ready piece count and any outstanding information. Do not treat label creation, estimated warehouse arrival or past operating times as a fixed cutoff or capacity commitment; peak operations can change with the shipment and carrier review.
Recheck pieces, dimensions and weight from the finished cartons
After packing is complete, record each piece, length-width-height, actual gross weight and whether it is multi-piece, palletized or crated. Check that labels are readable and match the waybill. Estimated measurements or sample packing can differ from finished goods and affect chargeable weight, handling and quote. Provide real photos for flexible, leak-prone or irregular packing.
Make the waybill, invoice and packing data describe the same shipment
Shipper and receiver details, address, phone, importer, description, use, quantity, declared value and currency must be truthful and consistent. Confirm the intended duty payer and any reviewed prepaid or tax-included arrangement before tender. Do not use vague descriptions, under-declaration, zero value or an unapproved payer change to accelerate peak-season handling.
For reviewed special cargo, check documents against the goods again
For powders, cosmetics, pastes and chemical materials, provide SDS/MSDS for the actual product, final packing, photos, net/gross weight and accurate description. A prior quote or review does not automatically carry over; changes in product, formula, packing, origin, destination or capacity can require renewed review. Documents support review, not guaranteed carriage or clearance.
Set an exception-response path before handover
Name a contact who can confirm quickly and keep the shipper, receiver and importer details available. If piece counts differ, packing is damaged, address/duty information is incomplete or carriage scope changes, pause the affected handover and review through the actual channel. Price, duties, transit time, return and final billing remain subject to review and the actual quote.

Does a peak-season label mean capacity is secured?
No. A label or preliminary discussion is not a fixed capacity, cutoff or carriage commitment; actual handover, shipment information, carrier review and operations control the outcome.
Can I tender with estimated dimensions and weight?
Use final measurements whenever possible. A difference can affect chargeable weight, quotation, handling and whether a new confirmation is needed.
Must previously reviewed special cargo be resubmitted in peak season?
It may. Recheck the actual product, SDS/MSDS, packing, origin, destination and currently available scope for the shipment.
