UPS, FedEx and DHL: when should an importer tax ID be checked before dispatch?

Tax-ID types and formats vary. Confirm the genuine importer first, then check the applicable VAT, EORI, TIN or other identifier against the destination, goods, declaration method and carrier channel. Pause handover when receiver, importer, duty payer and tax data do not align.

UPS public guidance stresses complete contact and customs data, while DHL lists applicable tax identification among commercial-invoice party details. Whether an identifier is required, who supplies it and the accepted format depend on the actual destination, goods and import arrangement; another company’s number must not be substituted.

Identify the genuine importer first

The receiver, buyer, delivery address and importer may be the same party or different parties. Confirm the importer’s legal name, complete address, authorised contact, phone, email and import responsibility. Do not automatically name a forwarding warehouse, marketplace address, temporary contact or unauthorised third party as importer.

Check applicability by destination and goods

Destinations can use VAT, EORI, TIN, EIN or other registration data, with different subjects and formats. Provide the country, postcode, trading parties, exact goods and use, supportable value and expected clearance arrangement so the genuine importer, broker or carrier channel can check what is needed. Never guess an identifier.

Align the waybill, invoice and duty arrangement

The waybill, commercial invoice, packing list, order and duty plan should describe the same real transaction. Cross-check receiver, importer, description, quantity, value, currency, origin, confirmed HS code and duty payer. A valid tax ID does not cure undervaluation, zero value, vague descriptions or a false party.

Pause when the records conflict

If the company name does not match the registered identifier, the importer denies authorisation, the address conflicts with registration, or the receiver asks for a last-minute change, pause label creation or handover. Keep written confirmation and request a new review. Post-handover amendments, charges and clearance outcomes cannot be promised.

Special cargo still needs shipment-level review

Powders, cosmetics, pastes and chemical materials also require the actual product name, use, composition, packing, quantity and matching SDS/MSDS where applicable. A tax ID or shipment history does not guarantee carriage, clearance or a fixed duty outcome; scope, price and time remain subject to review and quote.

Is the receiver always the importer?

No. Confirm the actual transaction and destination rules and identify both parties when they differ.

Can the shipment leave before a missing ID is supplied?

There is no universal answer. Requirements depend on destination, goods and clearance method and must be checked before a promise is made.

Can an affiliated company’s tax ID be used temporarily?

Do not substitute it yourself. The identifier must match the genuine authorised importer and declaration and pass the actual review process.
