UPS, FedEx and DHL: can you tender when invoice model, part number, serial number and goods description do not align?
The goods description explains what the item is, its material and use. Brand and model identify a product family; a part number or SKU identifies an organisation-defined material; a serial number normally identifies an individual unit. They can supplement but not replace one another. Map each invoice line across packing list, order, product labels and electronic declaration, especially for repairs, returns and mixed-model shipments.
DHL's current commercial-invoice guide recommends including brand, model or serial number when available while keeping the goods description detailed and understandable. UPS's freight document centre lists part numbers among commercial-invoice details. FedEx says the commercial invoice is the foundation for other international shipping documents and that other documents, including the shipping label, must remain consistent with it. An internal part number alone, a brand/model alone, or identifiers that conflict with the physical label therefore do not safely identify the goods.
Separate description, model, part number and serial number
A clear goods description says what the item is, its principal material and actual use. Brand/manufacturer and model identify a product family or specification. A part number, material number or SKU is a seller-, manufacturer- or warehouse-defined reference. A serial number normally identifies one physical unit. Do not use “ABC-123” instead of an understandable description or confuse an order, batch or waybill number with a serial number. Fields and mandatory scope depend on the goods, destination and operating channel.
Make each invoice line map to real goods
Where items under a similar name have different models, materials, uses, origins, HS codes, unit values or regulatory attributes, separate lines as needed instead of combining them under an ambiguous part number. Quantity, unit, value, currency, net weight, origin and identifiers on each line should reconcile to the packing list and order. Multiple serials may use a controlled attachment, but it should carry invoice number, line number, page and shipment reference.
Preserve unit identity for repair, return and replacement
For equipment or parts sent for repair, testing, return or replacement, state condition, actual purpose and reason. Where available and required, record model, part and serial numbers so the shipment can be linked to the original purchase, export, repair authorisation or return reference. Never borrow a serial number from another unit of the same model or remove required identifiers merely to avoid review.
Align documents, system fields, labels and photos
The commercial invoice, packing list, sales/purchase order, electronic declaration, waybill commodity data, product nameplate, carton labels and review photos should describe the same goods. If a system field is short, preserve an understandable name, material and use, then place brand, model, part or serial in the correct reference field or controlled attachment. Do not truncate the description to an internal code. Synchronise warehouse, finance and booking data after revisions.
Pause identifier conflicts and review special cargo separately
Pause tender if an invoice model does not exist, a part number maps to another product, serials are duplicated or conflict with the nameplate, an attachment cannot be linked to its invoice line, or a customer asks to hide required identity data. Have the cargo owner, manufacturer/seller, warehouse and operating channel confirm the record. Powders, cosmetics, pastes and chemical materials still need composition, SDS/MSDS, packaging and acceptance review; correct identifiers do not guarantee carriage, clearance, price or time.

FAQ
Can an internal part number be declared without an English goods description?
Not advisable. A part number usually does not explain the goods to a carrier or customs. Add an accurate plain-language description, material and use, plus brand, model or part number where required.
Must every product have a serial number?
No. Not every item has a unit-level serial; do not invent one. Whether it is required depends on the product, transaction, destination and document rules.
Can a confidential serial number be omitted?
Do not omit an applicable requirement unilaterally. Confirm whether it is required and use a controlled attachment, authorised channel or compliant confidentiality process instead of substituting an incorrect number.
